WorkBuddy GmbH, Königsstraße 64, 70173 Stuttgart (“WorkBuddy”) is committed to protecting your privacy and will not rent or sell your data to third parties. Likewise, your data will not be used for targeted advertising or other forms of profiling.

Data processing is mainly done to fulfill our contractual obligations to our users. Deviating from this, we process the data in order to protect our legitimate interests and to balance these with your interests (e.g. when we send you job proposals). In certain cases, we are obliged to process data in accordance with the law (e.g. when providing data to investigating authorities). In all other cases, we will explicitly ask you for your consent to data processing (e.g., when using tracking technologies to measure and optimize advertising or in the context of competitions). Due to the performance of our contractual obligation to our users, we continuously try to adapt our products and services to the needs of the user through personalization. This involves creating interest and usage profiles in order to be able to display suitable recommendations (e.g. for jobs and contacts) or to suggest your profile to other users as a business contact or potential employee. For the determination of these interests, we use the information provided by you and, in support of this, we receive further information via implicit feedback that occurs automatically through the use of our service (e.g., through so-called “tracking” and address book or list upload of a user).

The content of conversations is not used or analyzed by WorkBuddy. Your conversations belong to you – WorkBuddy does not have access to them. WorkBuddy only temporarily stores messages on its own servers so that they can be sent to the user at a later time, once the user is back online.

Whenever our services are used, we may collect technical data, so-called “log files”. The purpose of this collection is to provide the services of WorkBuddy. The legal basis for the collection is Art. 6§1b DSGVO (contract performance). Log files are stored for a maximum of 72 hours exclusively for facilitated troubleshooting, service improvement as well as prevention of misuse. The legal basis for the storage is Art. 6§1f DSGVO (legitimate interest). We have a legitimate interest in providing the services of WorkBuddy smoothly.

Depending on your user profile, we may store various information about you that we receive directly from you or that you post or send on the WorkBuddy website. When you create an account with WorkBuddy, we ask for your email address. There is mandatory information, which is marked as such, and optional information. When creating an admin account, we require your first and last name and additional information for billing purposes and reserve the right to share this with billing providers if necessary. The profile information you provide in the Incognito and WorkBuddy profiles is used to provide and support the Service and may be displayed to other WorkBuddy users when they search for your profile or wish to contact you. The email address you provide when registering will not be displayed to other users. Your personal information is only stored for the duration of your account. You can change or delete your profile information at any time. The legal basis for the aforementioned processing of your personal data is our fulfillment of a contract.

When inquiring about our products and/or services, we may collect your name, email address or other contact information. By providing your email address, we may send you emails or other communications to inform you about our products and services and related pricing information. You may unsubscribe from these emails at any time. WorkBuddy’s use of third-party tools is possible to send emails and manage contact information. The legal basis for the aforementioned processing of your personal data is your consent.

WorkBuddy may send you emails to inform you about changes regarding your user account (e.g. confirmation of your email address or notification of new device added to the account).

Your consent to receive emails and announcements and news can be revoked at any time by unsubscribing.

When creating an admin account with WorkBuddy, we may ask for supplemental information for billing purposes and may share it with billing providers (e.g., billing address, phone number, email address, and zip code if required by the billing provider for tax purposes). Certain types of personal information may also be collected that relate to specific transactions, such as transaction amount and duration.  The legitimate interest according to Art. 6§1b DSGVO (contract performance) is the legal basis for the aforementioned data processing. The legal basis for the collection and storage of data for tax reasons is Art.6§1c DSGVO (fulfillment of a legal obligation). The data will be deleted within 6 months after termination of the contract with you or after expiry of an existing legal obligation to retain data.

When you make an inquiry about our products, we collect the data you provide, e.g. your name, e-mail address or other contact information. This information is used to respond to your inquiry. The processing of this personal data complies with the legal basis Art. 6§1b DSGVO (contract initiation). After completion of the inquiry processing, your data will be deleted if no customer relationship should have arisen from it.

If you agree to receive our newsletter with information about offers and products of WorkBuddy by e-mail, WorkBuddy processes your e-mail address and name for the delivery of the newsletter. The legal basis for the data processing is your consent in accordance with Art. 6§1a DSGVO. You can unsubscribe from the newsletter at any time via a link located in each newsletter. Your data will be stored for this purpose only for the duration of the newsletter subscription.

In order to be able to pass data between end devices, WorkBuddy stores additional technical data (e.g. the device type through which our application was released). Additional technical data is kept to a minimum in order to maintain the operation of the service.

For the purpose of compiling anonymous usage statistics and crash logs, WorkBuddy processes individual data upon application usage. In the event that personal data is processed for this purpose and your consent is required for this purpose, we will process your data only after having received your consent (Art. 6§1a) DSGVO. If the processing of personal data for this purpose does not require consent from you, the data processing is based on a legitimate interest (Art. 6 (1f) DSGVO). Our legitimate interest is the unhindered provision of WorkBuddy services. You can prevent the processing of your data for these purposes at any time and set it in your user profile.

In the case of support requests to WorkBuddy, the personal data you submit may be stored for the duration of the processing of the support case. To process customer requests, WorkBuddy uses Jira from Atlassian. The processing of your data for handling the support request is based on Art. 6§1f) DSGVO (legitimate interest). Our legitimate interest is to provide a support service to our customers. After processing your request, the personal data required for processing the support request will be deleted.

For the provision of the WorkBuddy services, we use the services of the following third party providers:

WorkBuddy is committed to only selecting third party providers to provide WorkBuddy services in the EU and/or Switzerland. For the processing of personal data of business prospects and business account users, WorkBuddy uses the services of the following third party providers:


Hubspot, email dispatch and CRM, USA.

Sendinblue, email dispatch and CRM, Germany

Atlassian, support ticketing, Australia

Stripe, payment services, USA

Personal data is only passed on to third parties if this is necessary to provide services from the third party (e.g. for processing a support request). Likewise, the disclosure of personal data to third parties occurs in case of a legal requirement or when it is necessary to enforce the Terms of Use and/or protect WorkBuddy’s rights. Your data will only be disclosed to public authorities in case of an obligation to do so according to German law.

In the event of an acquisition of WorkBuddy (or its affiliates) with all of our assets or voting securities (or its affiliates) by a third party, WorkBuddy may disclose your personal data to such third party to the extent permitted by data protection law. The disclosure of personal data may likewise occur if WorkBuddy is otherwise involved in a transaction with similar financial implications. If this occurs, WorkBuddy will use reasonable efforts to require the third party to process data in accordance with this Privacy Policy. WorkBuddy will ask the third party to provide you with advance notice of any use of your personal data that differs from this Privacy Policy.

In case of transfer of Personal Data to third parties located outside the European Economic Area (EEA) (see the overview of Third Party Providers above), WorkBuddy will ensure that (i) the third party is located in a state recognized by the EU Commission as having an equivalent level of data protection and/or (ii) WorkBuddy has signed “standard data protection clauses” pursuant to Art. 46§2c) GDPR with the third party and/or (iii) another guarantee pursuant to Art. 46 or an exception within the meaning of Art. 49 GDPR is in place. In case of use of third party services (e.g. YouTube) via the WorkBuddy Application, any data you share with these services will be subject to their privacy policies.

This Privacy Policy may change at any time. The amended Privacy Policy will be made available to you through the WorkBuddy Application and on the WorkBuddy Website. To stay informed of changes, you agree to a recurring review of the Privacy Policy on your part. Your continued use of the WorkBuddy Services after the effective date of the changes constitutes your acceptance of the amended Privacy Policy.
